May develop and implement office procedures and policies and ensures compliance. May prepare and monitor the budget for a unit.Responsibilities

  • In support of the Executive Director, manages and monitors the CCTL's budget and ledger to ensure funds are appropriately allocated and expended.
  • Oversees the review, approval, and reporting of all expenditures and transactions by the CCTL and its staff.
  • Provides monthly financial reporting and budget projections in accordance with University and divisional policies and procedures.
  • Assists and supports the Executive Director with researching, writing, and presenting yearly budget proposal to the College.
  • Oversees the procurement of goods and services for the Center and negotiates with internal and external vendors as needed.
  • Manages the day-to-day operations and administrative activities of the Center.
  • Develops, analyzes, and implements operating strategies and procedures designed to ensure the efficient and effective functioning of the Center.
  • Creates and organizes CCTL policy and procedures documents, such as onboarding/offboarding, CCTL overall policy and operations manual, etc.
  • Oversees the management and maintenance of CCTL facilities, software, and equipment.
  • Assists the Executive Director and Deputy Director in developing, implementing, and monitoring a CCTL communication plan and strategy.
  • Fosters and maintains relationships with stakeholders, including faculty, staff, administrators, as well as campus and external partners.
  • Represents the Center and its mission at internal and external meetings, conferences, and other events as needed.
  • Oversees the processes for recruitment, hiring, and onboarding of new CCTL staff in coordination with HR.
  • Supervises and oversees support staff responsible for program and event support, communications, and operations.
  • Coordinates the recruitment, hiring, training, and payments of graduate and undergraduate student employees, including serving as the time approver when appropriate.
  • Manages and implements administrative logistics of small and large-scale programs and events.
  • Provides logistical and administrative support to ensure successful implementation of programs and events.
  • Performs some routine and complex assignments for the unit usually in the areas of finance, event planning or support services. Initiate the hiring process of students and staff for a unit, which includes the processing of payroll.
  • Responsible for training office staff on office procedures and compliance protocols. Coordinates special projects.
  • Performs other related work as needed.Minimum QualificationsEducation: Minimum requirements include a college or university degree in related field.Work Experience: Minimum requirements include knowledge and skills developed through 2-5 years of work experience in a related job discipline.Certifications: ---Preferred QualificationsEducation:
    • Bachelor's degree or higher.Experience:
      • Minimum 3 years of work experience in a related job discipline.
      • Developing and managing budgets.
      • Recruiting, hiring, training, and supervising student workers.
      • Growing and expanding operational support for a center or academic unit in an institution of higher education.
      • Strategic planning and development of annual reports.Technical Skills or Knowledge:
        • Proficiency in Mac and Windows environments.
        • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Office365, Teams) and Zoom.
        • Familiarity with Qualtrics or other survey/form building platforms.
        • Familiarity with web development environments/content management systems.
        • Familiarity with MailChimp, Emma, or other email management platforms.
        • Familiarity with Asana or other task management systems.
        • Proficiency with Oracle, Concur, Orbit, or other financial management systems.
        • Learn new software and database tools.Preferred Competencies
          • Comfortable in an academic and research-intensive environment.
          • Strong verbal and written communication skills including excellent editing/proofreading in English.
          • Excellent computer skills and ability to use complex databases and other record keeping systems.
          • Strong organizational skills, prioritize and manage concurrent tasks with interruptions.
          • Handle multiple concurrent projects in a competent and professional manner while also managing details and meeting deadlines.
          • Work effectively with supervision and as a part of a team, individually, or in concert with other offices and campus partners.
          • Establish good working relationships with people of different backgrounds.
          • Work autonomously, taking initiative and without detailed instructions.
